Gaithersburg HELP: Volunteer Coordinator Job Description

Coordinates the recruitment of new volunteers.
  • Checks the volunteer box on the voice mail regularly and contacts prospective volunteers.
  • Checks the yahoo email account regularly and contacts prospective volunteers.
  • Screens potential volunteers to match our needs and criteria and refers those not matching to other sources.
  • Sends information and applications to prospective volunteers who are found to match our needs and criteria.
  • Screens applications received and contacts references where appropriate.
  • Schedules Orientation Sessions for new volunteers at least twice a year, or more often as needed. Uses the Volunteer Handbook as a guide and conducts the Orientation session with the assistance of other program leaders. Documents attendees/contact info and submits info to be included in the HELP Mailing List database.
  • Sends copy of handbook when orientation is not available.
  • Helps recruit leadership as needed.

Refers screened potential volunteers to the appropriate Program Leader for training and participation in volunteer positions.

  • Sends copies of applications when possible.
  • Provides information by phone or email.
Consults with Program Leadership on needs and volunteer problems.
  • Requests feedback from Program Leaders on how new volunteers are working out.
  • Encourages Program Leaders to advise of vacancies or other special needs not yet filled.

Coordinates publicity of the Volunteer program

  • Provides publicity for the Orientation Sessions and other volunteer needs with fliers, public announcements, press releases and other methods as deemed appropriate.
  • Prepares Newsletter articles on volunteer needs.
  • Contributes to the quarterly Gaithersburg HELP Needs bulletin regarding volunteer needs.
  • Provides up-to-date info on volunteer needs to the Webmaster for inclusion on the HELP website.
  • Serves as the contact for the Montgomery County Volunteer Center, updating the volunteer position descriptions contained in their database as needed but not less then annually.
  • Serves as the contact for the City of Gaithersburg’s Volunteer Database, keeping them informed of our volunteer needs.

Assists with making presentations about the volunteer needs of the organization at community functions.

  • Staffs displays at recruitment events such as Gaithersburg Olde Towne/Celebrate Gaithersburg Day and member congregation Mission Events.
  • Prepares short presentations for delivery at events, either in person or by others.

Maintains a central repository of Job Descriptions.

  • Works with program leaders to ensure job descriptions are available for all positions.
  • Coordinates annual review of job descriptions to ensure they are up-to-date.

Updates the Volunteer Handbook on an annual basis to reflect the current functions of the organization.

Experience and Skills: Some knowledge of or experience with Gaithersburg HELP desirable but not required. Excellent communication skills, some knowledge or experience with non-profit organizations desirable.
